How to organize a corporate photo session in the company


The right business portraits presenting people in an authentic way are one of the basic tools in brand communication. Such portraits should attract attention and evoke the viewer’s sympathy for our company. The organization of the session requires paying attention to many important elements that together will determine the success of the project. I will tell you what is worth paying attention to when planning a session.
1. Expectations. Before starting the session, it is worth considering how we plan to use the portraits, how many shots of the portrayed person we plan to take. The needs of individual employees may vary. An expert who speaks frequently in the press needs more diverse portraits than a person whose portrait will only be used on the corporate intranet.
What should the atmosphere of the planned portraits be like – fresh and dynamic or maybe calm and dignified? The vision of what we need is also important. Do we need corporate portraits on a uniform background or do we prefer image portraits on the background of the office, or maybe a mixture of both styles? Do we prefer vertical or rather horizontal staff? It is always worthwhile to plan a session redundantly – as a result, there should be more different shots than we need at the moment. When additional needs arise, it will be possible to select images not previously purchased, avoiding the confusion of organizing a new session.



It is worth preparing sample images (photos) to present your idea and expectations to the photographer. This will facilitate communication and make the entire production team have a coherent vision as to the visual effect we want to achieve.
2 Place. It is best to conduct a session in the company’s office. Depending on the idea, it can be used in a conference room, a selected office or a company hall. It is worth taking a critical look at the interior design elements that need to be removed from the background. For example, clean desks from excess elements, etc. The advantage of organizing sessions in the office is time saving – we eliminate the time needed by the portrayed employees to reach the studio. An additional advantage of this solution is the sense of security of the portrayed and the possibility of planning photos during their working hours.
3 Privacy. It is worth ensuring that the painting of people and the pictures themselves do not take place in front of outsiders. Taking care of the intimate posing conditions means that the people portrayed are exposed to less stress and thus we achieve satisfactory results faster.



4 Planning. An efficiently conducted session does not have to disrupt the office’s work. Earlier, it is worth enabling the photographer to inspect the local office and choose the optimal space for taking photos. The preparation should result in a detailed schedule that will allow you to plan the shots and time frames needed for makeup and photos of each employee portrayed.
5 Styling. Before the session, we prepare the appropriate outfits. If the company has a detailed dress code implemented, we follow this document. 6 Selection of shots. It’s good to make sure that the shots are selected together with the people portrayed. Thanks to this, we minimize the probability that the selected portraits will not be liked by the photographed ones. After the initial selection from the selected pool of approved shots, we make a selection with the person responsible for communication / marketing.
